Roles and what they allow

Every member holds one of five roles, and that role is the whole of what they can reach. There are no individual permissions on top.

From most to least permissive:

• Owner — everything, including anything INDEX Club adds later.
• Admin — "Manages bookings, people and settings": every booking, the fleet, instructors, classrooms, members, announcements, closures, club settings and the audit log.
• Instructor & Admin — "Manages the club and is bookable for lessons": everything an admin can do, with an instructor diary of their own.
• Instructor — "Teaches and is bookable for lessons": makes, changes, confirms, cancels and signs off bookings, and sets their own My availability.
• Student — "Books aircraft and lessons": books for themselves and sees their own bookings. Their bookings wait for approval.

Owners, admins and instructor-admins must set up an authenticator app before they reach INDEX Club. See Two-factor authentication. Roles are fixed: you choose a member's role, but not what a role allows.

Changing somebody's roleCopy Anchor Link

On the member's page, press Edit, choose a Role and press Save. Each role has its description under it. The member is not told, so tell them yourself.

• Moving into Instructor or Instructor & Admin also makes them bookable. INDEX Club creates their instructor record, or reactivates the one they had.
• Moving between those two keeps their diary and bookings as they are.
• Moving out of them deactivates their instructor record. The dialog counts their upcoming lessons, which are flagged needs reschedule. Moving them back later does not un-flag them.

• Owner is never offered. The pickers list Admin, Instructor, Instructor & Admin and Student. An owner's own dialog says "Role is Owner. It can't be changed here."
• Only an owner can change an owner's account. Admins cannot edit or deactivate an owner.
• A club keeps at least one active owner. The last one cannot be removed.
• You cannot grant more than you hold. A non-owner cannot give a role that reaches something their own role does not.

If something goes wrongCopy Anchor Link

• Edit is not on the member's page. Your role cannot manage members. Only owners, admins and instructor-admins can.
• "Only an owner can change an owner's account." You are an admin acting on an owner. Ask an owner to make the change.
• "This member is the account's only owner." Make somebody else an owner first.
• A new instructor cannot be booked. Check they appear under Instructors, and that their role is Instructor or Instructor & Admin.
